Tracking and follow-up

Leads logged, routed and followed up on

A service partner can connect your ads, forms and CRM, then set reminders so new inquiries get a reply from the right person.

The pieces of a tracking setup

A typical lead tracking setup for a small or mid-sized business includes these parts:

  • Google Tag Manager as the single place tags are added and changed
  • GA4 events for form submissions and other actions you care about
  • Conversion tags for Google Ads, Microsoft Advertising, Meta, LinkedIn or whichever platforms you use
  • UTM naming rules so every campaign link is labeled the same way
  • Hidden form fields that carry campaign details into the CRM
  • Lead routing into HubSpot, Salesforce, Pipedrive or similar
  • Speed-to-lead alerts by email, Slack or app notification
  • Offline conversion import that sends CRM stages back to the ad platforms
  • A simple report the owner can read

Speed-to-lead alerts

A new lead that sits unnoticed in an inbox loses value as the hours pass. Speed-to-lead alerts make sure the right person knows a request has arrived.

Common setups send an email to the lead's owner, a message to a Slack channel, or a notification in the CRM's mobile app. The alert usually includes the name, the service requested, the source campaign and a link to the record. Some businesses add a reminder if no activity is logged after a set period, or an escalation to a manager.

How fast your team responds comes down to staffing. The setup makes the arrival visible and can record when the first follow-up happened. If you plan to text new leads automatically, settle the consent question with your counsel first.

Questions to ask about tracking work

Tracking is easy to describe and easy to get partly wrong. These questions help you compare providers:

  • Will everything be set up in accounts my business owns?
  • How do you audit what is already installed before adding anything?
  • Which events will count as conversions, and why those?
  • How do you prevent a single form submission from being counted twice?
  • How will UTM names be kept consistent?
  • Which CRM stages will be sent back to the ad platforms, and how?
  • How do you test the setup before calling it finished?
  • What documentation do we receive at the end?
  • Who maintains the setup when forms or campaigns change?

Specific answers, with tool names and a test plan, are a good sign.

Questions about lead tracking and follow-up

Why do GA4 and my ad platform show different numbers?

Each tool counts by its own rules. They differ in attribution windows, how they treat returning visitors and what ad blockers stop. Some gap is normal. The aim is to keep each source consistent over time and to make sure a single submission is not counted twice within any one tool.

What are UTM parameters?

They are labels added to a link that name the source, medium and campaign. GA4 reads them to report where visitors came from, and hidden form fields can save them with each lead in your CRM. A shared naming sheet keeps them consistent across campaigns.

What is a speed-to-lead alert?

It is a notification sent when a new lead arrives, by email, Slack or the CRM's mobile app, to the person who should respond. It usually includes the name, the service asked about, the source and a link to the record. How quickly your team follows up is up to you.
